Terms of Service

These Terms of Service govern a Business's registration for and use of OrbitBook, the online appointment-booking service operated by Venture Tech Engineering Consultancy in the Hashemite Kingdom of Jordan. Please read them carefully before creating an account.

1. Acceptance of these terms

OrbitBook (the "Service") is an online appointment-booking platform operated by Venture Tech Engineering Consultancy ("VTEC", "we", "us", "our"), a company based in the Hashemite Kingdom of Jordan. We operate remotely and do not maintain a public office. By creating a Business account, accessing the administration dashboard, or otherwise using the Service, you agree to be bound by these Terms of Service (the "Terms"), together with our User Policy and Privacy Policy, which are incorporated by reference. If you do not agree, you must not register for or use the Service.

In these Terms, a "Business" means the person or entity that registers an account and obtains a public booking page, and a "Customer" means a member of the public who books an appointment on a Business's booking page without an account. These Terms govern the relationship between us and the Business; Customers' bookings are made with the Business, not with us.

2. Eligibility

You may register a Business account only if you are at least eighteen (18) years old and have full legal capacity. If you register on behalf of a company or other entity, you represent and warrant that you have the authority to bind that entity to these Terms, and "you" in these Terms refers to that entity.

3. Accounts and security

To use the Service you must create an account with a valid email address and password and complete your business profile. You agree to:

  • provide accurate, current, and complete information when registering and keep it up to date;
  • keep your login credentials confidential and not share them with unauthorised persons;
  • accept responsibility for all activity that occurs under your account; and
  • notify us promptly at legal@orbitbook.vtec-jo.com if you suspect unauthorised access to your account.

4. The Service

The Service provides each Business with a bilingual (English and Arabic) public booking page, tools to define services, prices, working hours, and branding, a scheduling calendar to manage appointments, in-app notifications, and transactional email notifications. We may improve, modify, or add features over time. The Service is a scheduling tool only: we are not a party to the appointment or to any transaction between a Business and a Customer, and we do not process payments through the Service.

5. Business responsibilities

As a Business, you are responsible for how you use the Service and for your relationship with your Customers. In particular, you agree to:

  • keep your listings accurate, including service descriptions, prices, working hours, and contact details;
  • operate your business lawfully and hold any licences or permits your activity requires under Jordanian law;
  • honour and manage the bookings you accept, and update or cancel appointments promptly when your availability changes;
  • obtain any consents or provide any notices required from your Customers for the collection and use of their personal data, in accordance with the Personal Data Protection Law No. (24) of 2023; and
  • respond to Customer enquiries and complaints relating to your services in a timely and professional manner.

6. Acceptable content and conduct

Your use of the Service, and all content you publish through it (including business names, descriptions, service names, and logos), must comply with our User Policy and with applicable law. Without limiting the User Policy, you must not publish or transmit content that is:

  • unlawful, fraudulent, or misleading;
  • hateful, discriminatory, threatening, or harassing;
  • sexual or adult in nature;
  • extremist or promoting violence or terrorism;
  • related to illegal drugs or controlled substances;
  • infringing the intellectual-property rights of others; or
  • insulting to religions, or to the Hashemite Kingdom of Jordan, its institutions, or the monarchy.

We may use automated filters to detect prohibited content, and we may remove or refuse content, or suspend accounts, that we reasonably believe violate this section or the User Policy.

7. Customer data

When a Customer books an appointment on your booking page, the Service collects on your behalf the Customer's full name and phone number (required), email address (optional), selected service, appointment date and time, and preferred language. You may also maintain block-list entries. As between you and us, you are responsible for handling Customer personal data lawfully, including under the Personal Data Protection Law No. (24) of 2023; we process that data on your behalf only to provide and operate the Service, as described in our Privacy Policy. You must not use Customer data obtained through the Service for purposes unrelated to the appointment without a lawful basis.

8. Fees and billing

Use of the Service is subject to the following pricing: a flat fee of USD 20 per month per Business account, with no other charges. If we introduce or change fees in the future, we will give you reasonable advance notice through the Service or by email, and continued use of the Service after the change takes effect will constitute acceptance of the new fees.

9. Intellectual property

The Service, including its software, design, databases, and the OrbitBook and VTEC names and trademarks, is and remains our property or that of our licensors. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service for your business during the term of your account; they do not transfer any ownership to you.

You retain ownership of the content you upload or enter into the Service (such as your business name, logo, descriptions, and service listings). You grant us a worldwide, non-exclusive, royalty-free licence to host, store, reproduce, and display that content solely to provide and operate the Service, including displaying your public booking page to Customers. This licence ends when your content is deleted from the Service, subject to reasonable backup retention.

10. Third-party services

The Service relies on third-party infrastructure providers: Supabase (database, authentication, and storage, hosted in the European Union (Germany)), Cloudflare (hosting, content delivery, and security), and Resend (transactional email). We select reputable providers, we apply security measures such as row-level isolation between Businesses, encryption in transit, and access controls, and we require these providers to maintain their own security and data-processing commitments. However, to the extent they are beyond our reasonable control, we are not liable for outages, failures, or acts or omissions of these third-party providers, including security incidents, personal-data breaches, or unauthorised access to or disclosure of data occurring at, or caused by, these providers.

11. Service availability and disclaimer

The Service is provided "as is" and "as available". To the extent permitted by applicable law, we make no warranty that the Service will be uninterrupted, error-free, or free of vulnerabilities, and we do not warrant any particular results from its use. We may perform maintenance, updates, or emergency interventions that temporarily affect availability, and we will use reasonable efforts to minimise disruption.

12. Limitation of liability

To the maximum extent permitted by the laws of the Hashemite Kingdom of Jordan, we shall not be liable for indirect, incidental, consequential, or special damages, or for loss of profits, revenue, business, or data, arising out of or in connection with the Service or these Terms. To the same extent, our total aggregate liability arising out of or in connection with the Service or these Terms shall not exceed the total fees you paid to us for the Service in the twelve (12) months immediately before the event giving rise to the claim. Nothing in these Terms excludes or limits liability that cannot be excluded or limited under Jordanian law, including liability for fraud or wilful misconduct.

13. Security incidents

We apply reasonable technical and organisational security measures appropriate to the nature of the personal data we process. In the event of a personal-data breach affecting Customer data, we will act in accordance with the Personal Data Protection Law No. (24) of 2023, including notifying the affected Business without undue delay and, where required, notifying the competent Jordanian authority.

No system is completely secure, and we cannot guarantee that security breaches will never occur, including breaches originating at third-party providers. Our liability for security incidents is subject to the "Limitation of liability" section of these Terms, and where a breach originates at a third-party provider beyond our reasonable control, our liability is excluded to the extent permitted by law. The Business remains responsible for notifying its own Customers where applicable law requires it to do so.

14. Indemnification

You agree to indemnify and hold us, our officers, employees, and agents harmless from any claims, damages, liabilities, costs, and reasonable legal fees arising from: (a) your unlawful use of the Service; (b) content you publish through the Service; (c) your breach of these Terms or the User Policy; or (d) your handling of Customer personal data in violation of applicable law.

15. Suspension and termination

You may stop using the Service and close your account at any time. We may suspend or terminate your account, or restrict access to specific features, if we reasonably believe you have breached these Terms or the User Policy, if required by law or a competent authority, or if necessary to protect the Service, other Businesses, or Customers. Where reasonably practicable, we will notify you and give you an opportunity to remedy the breach before termination.

Upon termination, your booking page will no longer be publicly available and your right to use the Service ends. You will have thirty (30) days from the effective date of termination to export your data, after which we will delete or anonymise it in accordance with our Privacy Policy, except where the law requires longer retention. Sections that by their nature should survive termination (including intellectual property, limitation of liability, indemnification, and governing law) will survive.

16. Changes to the Service and to these Terms

We may modify the Service, and we may update these Terms from time to time. If we make material changes, we will notify you through the Service or by email before the changes take effect and update the "Last updated" date above. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms. If you do not agree, you should stop using the Service and close your account before that date.

17. Governing law and disputes

These Terms are governed by the laws of the Hashemite Kingdom of Jordan, including the Personal Data Protection Law No. (24) of 2023, the Electronic Transactions Law, and applicable consumer-protection rules. Any dispute arising out of or in connection with these Terms or the Service that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the competent courts of the Hashemite Kingdom of Jordan.
